Overview of Stakeholder Engagement in IT projects

Stakeholder engagement is an important part of the IT project success which is particularly in an environment that involves diverse stakeholders with varied interests and technical proficiencies. It was evidenced from the research that poor stakeholder management is one of the main causes of IT project failures. Therefore, it was ensured from the research that the development of a structured communication plan is evident for the overall projects.

For the efficient applications of the strategy, it is needed to provide training for the teams on conflict management techniques that emphasise a solution-oriented approach (Günçavdi-Alabay 2023). It was ensured that by the adaptation of these practices, the organisation would mitigate the disruptions that foster stronger stakeholder relationships and ensure project alignments.

Challenges and Considerations

As the strategies are effective, certain challenges need to be addressed, like communication barriers, time zones and scheduling conflicts, resistance to change and resource constraints. Understanding and addressing these issues proactively is essential to ensure seamless collaboration and alignment of the projects.

It was evidenced that communication challenges often arise from language differences, technical jargon or differences in the stakeholder expertise (Damian & Zowghi 2023). The misunderstanding due to the communication style leads to unclear expectations and project delays. The use of visual charts, graphs and presentations sometimes simplifies complex ideas. It was also ensured that the regular check-ins clarify the expectations and ensure alignment (Alnhari & Qureshi 2024). According to Tariq & Gardezi (2023), time zones and scheduling conflicts are other important issues that disrupt the global project stakeholders. It was ensured that global projects often involve stakeholders in different geographical locations, making scheduling and real-time collaboration difficult. The use of digital tools is evident in the reduction of travel and communication costs, which ensures that the stakeholders remain informed and involved.

(2023), cultural differences also develop certain challenges for the stakeholder’s engagement that lead to varying expectations and decision-making approaches among the stakeholders. It was ensured that the delivery of cultural awareness training for the project teams is essential for the fostering of inclusivity. It was also evidenced that stakeholders with different objectives create conflicting demands that slow down the decision-making process for the project's progress (Hirmer et al. 2021). It was considered that the use of stakeholder mapping and prioritisation techniques identifies the key influencers and aligns with the project objectives. From the excavation, it was understood that by addressing these challenges with the targeted strategies organisation will foster trust and improve collaborations that align with the stakeholder's expectations.

It was concluded from the research that effective stakeholder engagement is integral to the success of IT projects. By the adaptation of strategies like stakeholder analysis, structured communication and feedback loops, the diverse expectations can be met of our stakeholders with the minimisation of the potential challenges.
